Keep the existing decisions in view

Keep each client’s entity, scope, source records and permissions separate. Essentials and Plus are proposed monthly packages, not signed clients. The intake workbook organizes records; it is not the accounting ledger or the five-year forecast. A card payment or reimbursement must not become a duplicate expense.

1. Give it a bounded work packet

Provide the agreed client scope, period, sanitized intake rows, exact missing-record list and your checked month-end findings. Use the workbook’s Client Profile, Source Requests, Accounts & Balances and Exceptions & Handoff fields.

2. Ask for a useful draft

Ask for one consolidated client request or a draft monthly explanation. The output should name the specific record or decision needed, the relevant period and what the client can do next. It should explain checked findings without inventing transactions or classifications.

A prompt you can adapt

Organize these intake notes into the existing workbook fields and draft one concise missing-record request. Then explain the checked monthly findings in plain language. Preserve the amounts, entity and period. Identify unsupported statements instead of filling them in. Do not post entries, send messages or make tax-treatment decisions.

3. Check, then use the result

Compare the draft to the statements, reconciliation and approved reports. Check amounts, dates, transfers, owner-paid items and recipient identity. Accounting judgment stays with the responsible practitioner; use AI to prepare and explain the work, not to certify it.

4. Improve the next cycle

Keep actual delivery hours and recurring questions with the client’s record. Ask AI to turn repeated questions into a reusable checklist with all client-specific information removed.

Use an approved tool and only information you are permitted to share. Remove names, account details and unnecessary sensitive information when the task works without them. Keep the source records, working draft and final approved output distinguishable.
